Terms & Conditions

These Standard Terms and Conditions govern all bookings made with Paragon Taxis (“Paragon Taxis”, “we”, “us” or “our”) for taxi, private hire, airport transfer, cruise port transfer, and tour services. By making a booking with us — online, by telephone, or by email — you confirm that you have read, understood and accepted these terms. Please read them carefully before booking.

1. Definitions

  • “Booking” means a confirmed reservation for transport services made with Paragon Taxis and acknowledged with a booking reference number.
  • “Passenger” means any person travelling in a Paragon Taxis vehicle under a booking, including the lead booker and any accompanying passengers.
  • “Lead booker” means the person who places the booking and provides contact and payment details. The lead booker is responsible for the conduct of all passengers in the party.
  • “Vehicle” means any licensed vehicle operated by Paragon Taxis or by a sub-contracted licensed operator engaged by Paragon Taxis under clause 7.
  • “Journey” means the transport service described in the booking, including any agreed stops or waiting time.

2. Bookings and Confirmation

  1. No booking is considered accepted until we have confirmed it by email and issued a booking reference number. Provisional enquiries and unconfirmed requests do not constitute a contract.
  2. The price quoted for an online booking is for a direct journey between the pickup and destination addresses provided. It does not include diversions, additional stops, or multiple pick-ups from other addresses. If your journey requires any of these, please contact us before booking and we will provide an exact quote.
  3. It is the lead booker’s responsibility to ensure that all booking details are correct — including pickup and drop-off addresses, date, time, passenger numbers, luggage, flight or ship details, and any special requirements. We accept no liability for issues caused by inaccurate information supplied at the time of booking.
  4. For airport pickups, the lead booker must provide the flight number and scheduled landing time. For cruise port pickups, the lead booker must provide the ship name, scheduled disembarkation time, and the cruise terminal where applicable.
  5. Paragon Taxis cannot be held responsible for any bookings made directly with a driver outside our central booking system. Only bookings confirmed in writing by Paragon Taxis are covered by these Terms and Conditions.

3. Pricing and Payment

  1. All fares quoted are fixed for the journey described in the booking and include tolls, congestion charges, parking, and the first hour of waiting time at airports. Tour bookings include two hours of waiting time; additional waiting beyond this is charged at an agreed hourly rate.
  2. If the lead booker requests a longer route than the one quoted, additional mileage will be charged. Our drivers are trained to take the fastest available route at the time of travel.
  3. Payment for online bookings is made via a secure Stripe payment link issued after the booking has been reviewed and confirmed. We do not accept cash, cheque, or bank transfer for online bookings.
  4. Stripe processes all card payments. Standard Stripe processing applies to UK and international cards. The lead booker is responsible for ensuring sufficient funds are available on the payment card used.
  5. If a payment fails or is reversed after a journey has been completed, Paragon Taxis reserves the right to recover the outstanding amount through any lawful means.

4. Cancellations and Amendments

  1. A confirmed booking may only be amended or cancelled with our agreement. Requests must be made in writing — preferably by email to bookings@paragontaxis.co.uk — or by telephone, and acknowledged by us.
  2. The following cancellation charges apply:
    • More than 5 days before the scheduled pickup time: 15% of the booking fare is retained; the remainder is refunded.
    • Between 72 hours and 5 days before the scheduled pickup time: 25% of the booking fare is retained; the remainder is refunded.
    • Within 72 hours of the scheduled pickup time: No refund is given. Refunds within this window are at the sole discretion of Paragon Taxis and only in exceptional circumstances.
  3. If a passenger fails to present themselves at the pickup point at the scheduled time and we cannot make contact, the booking will be treated as a no-show and no refund will be given.
  4. If we are unable to fulfil a booking for reasons within our control, we will refund the booking fare in full or, where possible, arrange an equivalent service through a sub-contracted licensed operator under clause 7.

5. Waiting Time

  1. Airport pickups: we allow 60 minutes of free waiting time after the plane has landed, to allow passengers to clear customs and meet their driver. After this first hour, waiting time is charged at £20.00 per 30 minutes (or part of).
  2. Cruise port pickups: we monitor disembarkation times and aim to be at the designated pickup point in time for your scheduled disembarkation. Reasonable waiting time is included; significant additional waiting may be charged at the airport rate above.
  3. Tours: tour bookings include two hours of waiting time at attractions. Additional waiting time is charged at an agreed hourly rate, confirmed at the time of booking.
  4. Standard pickups: drivers will wait up to 10 minutes at the agreed pickup time before contacting the lead booker. Additional waiting beyond this may be charged at the airport rate.

6. Vehicles, Passengers and Luggage

  1. All Paragon Taxis vehicles are licensed and insured to carry up to their maximum passenger capacity, which is shown on the badge displayed on the rear of the vehicle. This capacity will not be exceeded under any circumstances. An infant counts as one passenger.
  2. Vehicle capacities are as follows:
    • 4-seater saloon: up to 4 passengers with 2 suitcases, OR 4 passengers with carry-on bags only.
    • 6-seater MPV: up to 4 passengers with 4 suitcases, OR up to 6 passengers with carry-on bags only.
    • 8-seater minivan: up to 8 passengers with 8 suitcases plus carry-on bags, all together.
  3. If the lead booker has not declared the correct number of passengers or the correct quantity of luggage at the time of booking, we reserve the right to refuse travel or to provide an alternative vehicle at additional cost.
  4. We reserve the right to refuse travel to any passenger who, in the reasonable opinion of the driver, is unfit to travel due to alcohol or drug use, or who presents a risk to the driver, the vehicle, or other passengers.
  5. Child seats cannot be stored between journeys. If a passenger requires a child seat, they must bring their own. The seat may remain in the vehicle throughout a tour or return journey at no additional charge.
  6. Passengers’ personal belongings remain their own responsibility at all times. Paragon Taxis accepts no liability for items left in the vehicle, although every reasonable effort will be made to return any items found after a journey has been completed.

7. Sub-contracting

Paragon Taxis reserves the right to sub-contract any booking to another licensed operator, provided that the sub-contracted operator can provide a vehicle of equivalent or higher specification. All sub-contracted operators are licensed and insured to the same standards we apply to our own fleet.

8. Cruise Terminal Pickups

  1. Pickups at all five Southampton cruise terminals (Queen Elizabeth II, Ocean, City, Horizon, Mayflower) take place outside the terminal building, at the designated pickup point. Your driver will be at the vehicle with a name board and will help load your luggage.
  2. If you are unable to locate your driver on disembarkation, please call or send a WhatsApp message using the contact number provided in your booking confirmation. Where the lead booker has supplied a WhatsApp number at the time of booking, the driver may — on most occasions — send a photograph of the vehicle showing the registration plate before disembarkation, to make the vehicle easier to identify. This is offered as a service feature and is not guaranteed.
  3. Cruise terminal assignments can change at short notice. Paragon Taxis monitors the published port schedule, but the cruise line’s boarding documents are the authoritative source for terminal information. Passengers should refer to their boarding documents and contact us if the terminal listed differs from what was provided at booking.

9. Delays and Liability

  1. Paragon Taxis will always make every reasonable effort to deliver passengers to their destination on time. However, we cannot guarantee a specific journey time and will not be held liable for any loss, missed connection, or inconvenience caused by delays outside our control.
  2. Causes of delay outside our control include, but are not limited to: traffic congestion, road works, road closures, accidents, vehicle breakdowns affecting the route, adverse weather, security alerts, public events, and acts of any third party.
  3. Our liability for any direct loss caused by our breach of these terms is limited to the value of the booking. We accept no liability for indirect or consequential loss, including but not limited to missed flights, missed cruise departures, lost income, or accommodation costs, except where such liability cannot be excluded under English law.
  4. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, or for any other liability that cannot be limited or excluded under English law.

10. Soiling Charge

Paragon Taxis reserves the right to charge a soiling fee of £120.00 in the event that a passenger causes soiling, damage, or contamination of the vehicle interior that requires professional cleaning or removes the vehicle from service. The lead booker will be notified before the charge is applied.

11. Website Content

Illustrations, photographs, and descriptions on our website, brochures, or other documents are provided as a guide only. Vehicles, terminals, and locations may differ in appearance, and these images and descriptions do not form part of any contractual agreement. Pricing and service details are confirmed at the point of booking.

12. Privacy and Data Protection (UK GDPR)

Paragon Taxis is the data controller for personal data collected through our website and booking system. We are committed to protecting your personal information and processing it in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

12.1 What we collect

When you make a booking or contact us, we collect:

  • Your name, email address, and mobile telephone number.
  • Pickup and drop-off addresses, journey date and time, passenger and luggage numbers.
  • Flight number and landing time (for airport pickups), or ship name, disembarkation time and terminal (for cruise port pickups).
  • Any special requests or accessibility requirements you choose to share.
  • Payment is processed by Stripe; we do not store your full card details on our systems. Stripe handles card data under its own terms and PCI-DSS compliance.
  • Standard website analytics data (such as pages viewed and approximate location) collected through Google Analytics, where you have given consent via our cookie banner.

12.2 Why we use it — lawful bases

We process your personal data on the following lawful bases under UK GDPR:

  • Contract (Article 6(1)(b)): to fulfil your booking, communicate with you about your journey, issue invoices and receipts, and provide customer support before, during, and after the journey.
  • Legal obligation (Article 6(1)(c)): to comply with our obligations under tax, accounting, and licensing law — including retention of booking and payment records.
  • Legitimate interests (Article 6(1)(f)): to operate, secure, and improve our service, prevent fraud, respond to enquiries, and request feedback or reviews from completed customers. Our legitimate interests are balanced against your rights and freedoms.
  • Consent (Article 6(1)(a)): for non-essential cookies and any direct marketing email or SMS communications. You may withdraw consent at any time.

12.3 Direct contact and marketing

We will use your contact details to communicate with you about your booking — this is necessary for the performance of our contract with you and does not require separate consent. Examples include booking confirmations, payment requests and receipts, journey reminders, and changes to your booking.

We will only send you direct marketing communications (such as offers, news, or promotions) where you have given us specific consent at the point of booking or via a separate opt-in. You may withdraw consent at any time by clicking the unsubscribe link in any marketing email, by replying STOP to a marketing SMS, or by contacting us at bookings@paragontaxis.co.uk.

After your journey is completed, we may send you a single review request inviting you to leave feedback on Google or TripAdvisor. This is sent on the lawful basis of legitimate interests; you can opt out of any future review requests by replying to the email or contacting us.

12.4 Who we share your data with

We share your personal data only with parties who help us deliver your booking, on a need-to-know basis:

  • The driver assigned to your journey — who receives your name, contact number, journey details, and (where supplied) flight or ship information.
  • Sub-contracted licensed operators, where we have engaged one to fulfil your booking under clause 7. Sub-contracted operators are required to handle your data in accordance with UK GDPR.
  • Stripe, our payment processor, which handles card data under its own privacy notice (stripe.com/gb/privacy).
  • Our hosting, email, and IT service providers, who process data on our instructions under written contracts.
  • HMRC and any other regulatory or law enforcement body where we are required to disclose information by law.

We do not sell your personal data to any third party. We do not transfer your personal data outside the UK or European Economic Area unless an adequate level of protection is in place under UK GDPR.

12.5 How long we keep your data

  • Booking and journey records: retained for 7 years from the date of the journey, in line with HMRC tax record requirements.
  • Marketing contact details (where consent given): retained until you withdraw consent or until 3 years of inactivity, whichever is sooner.
  • Website enquiry forms (no booking made): retained for up to 12 months, then deleted.
  • Website analytics data: retained in line with Google Analytics retention settings (currently 14 months).

12.6 Your rights

Under UK GDPR you have the following rights in relation to your personal data:

  • The right to be informed — about how we collect and use your data (this notice).
  • The right of access — to request a copy of the personal data we hold about you.
  • The right to rectification — to ask us to correct inaccurate or incomplete data.
  • The right to erasure — to ask us to delete your personal data, subject to our legal retention obligations (such as tax records).
  • The right to restrict processing — to ask us to limit how we use your data in certain circumstances.
  • The right to data portability — to receive your data in a structured, commonly used format.
  • The right to object — to processing based on legitimate interests, including direct marketing.
  • The right to withdraw consent — at any time, where we rely on consent.
  • The right to complain — to the Information Commissioner’s Office (ICO registration #00013756542) if you believe we have mishandled your data. The ICO can be contacted at ico.org.uk or on 0303 123 1113.

12.7 Cookies

Our website uses cookies and similar technologies to operate the site, remember your preferences, and analyse traffic. Non-essential cookies are only set with your consent through our cookie banner. For full details, please see our separate Cookie Policy.

13. Complaints

We aim to provide a consistently high standard of service. If you are unhappy with any part of your experience with Paragon Taxis, please contact us in writing at bookings@paragontaxis.co.uk within 14 days of the journey, providing your booking reference and a description of the issue. We will acknowledge your complaint within 3 working days and aim to provide a full response within 14 working days.

14. Governing Law and Jurisdiction

These Terms and Conditions, and any contract formed between us, are governed by the laws of England and Wales. Any dispute arising in connection with these terms is subject to the exclusive jurisdiction of the courts of England and Wales.

15. Changes to These Terms

We may update these Terms and Conditions from time to time to reflect changes in our service, in law, or in best practice. The version published on paragontaxis.co.uk at the time of your booking is the version that applies to that booking. The latest version is always available on our website with the date of last update shown at the top of this page.
